Title: Personal Assistant
Working Schedule:  Full-time, available to be on-call outside of regular business hours as needed.
Salary: $160,000+ per annum, plus full benefits
Location: New York City, NY
 
This role supports the principal with various administrative and personal tasks, working closely with an integrated and collaborative team, including the Family Office and multiple estates and household managers. The Personal Assistant will ensure that the principal’s day-to-day operations run smoothly and efficiently while maintaining high discretion and professionalism.
 
Key Responsibilities:

  • Provide daily administrative assistance to the principal and their family, ensuring the utmost privacy and confidentiality. Handle correspondence, phone calls, email management, filing, and archiving.
  • Maintain and coordinate the principal’s calendar, including social and business appointments. Liaise with assistants, nannies, and household staff to synchronize schedules across the family.
  • Communicate with the chauffeur regarding daily transportation needs and oversee household staff, including chefs and house managers, to assist with purchases, repairs, inventories, and maintenance projects.
  • Work closely with the Family Office on a variety of tasks such as household expenses, art and antique purchases, staff matters, charitable donations, and insurance matters.
  • Organize domestic and international travel, including commercial and private arrangements (family aircraft and boat), and provide detailed itineraries. Manage all travel documentation and ensure that vendors, hotels, and transport services are properly arranged.
  • Assist in planning and executing special events, dinners, holidays, and parties. This includes managing guest lists, sending invitations, coordinating with vendors, organizing seating arrangements, and overseeing rentals and catering.
  • Coordinate medical appointments, tests, and medications for the principal and family members. Manage pet care, including vet appointments and grooming schedules.
  • Assist with various special household projects such as renovations, interior decoration, and large purchases of furniture or other items.
  • Communicate with household security regarding visitor access and ensure smooth coordination for any visitors to the residence.
  • Oversee the principal’s personal shopping needs and ensure that household inventories are well-maintained, including art, jewellery, and antiques.

Ideal Candidate:

  • The ideal candidate must have excellent organizational skills and the ability to manage multiple tasks seamlessly.
  • The role requires clear and professional communication with household staff, vendors, the Family Office, and other personal assistants.
  • Given the sensitive nature of the position, maintaining the family’s privacy is of utmost importance. The candidate should demonstrate a high level of discretion at all times.
  • Experience working in a similar role within an HNW/UHNW household is preferred, especially when handling complex schedules, international travel, and personal requests.
  • The candidate should be proactive and able to adapt to changing priorities, whether it’s last-minute travel changes, scheduling conflicts, or special event planning.
  • This role requires working collaboratively with a team that includes household managers, nannies, assistants, and security staff. Being a supportive team player is essential to success in this position.
  • Competency in managing IT, telecom, and digital tools to support the principal’s needs is beneficial.
