Role: Virtual PA/EA to the Principal
Start Date: Immediate
Salary: DOE (Dependent on Experience)
 
We are seeking a highly organised and detail-oriented Virtual Personal Assistant/Executive Assistant (PA/EA) to support a busy Principal. It’s a fully remote position with no travel required, though experience with travel logistics is a plus.
 
Key Responsibilities:

  • Meticulous calendar management: Act as the gatekeeper of the Principal’s time, ensuring every appointment and meeting is flawlessly scheduled in Google Calendar.
  • Operations support: Streamline day-to-day operations by identifying and implementing process improvements, helping the Principal manage both personal and professional tasks efficiently.
  • Google Calendar, Email, and Google Drive management: Expertly manage these platforms, ensuring email responses are timely, documents are organised, and the Principal’s schedule flows seamlessly.
  • Attention to detail: Review documents thoroughly, manage meeting minutes, ensure invoices are paid on time, and oversee routine tasks with precision.
  • Process improvement: Use software to simplify workflows, optimise time management, and streamline the Principal’s operations.
  • Database management: Create and maintain databases for partners, prospects, events, and solutions, ensuring data is easily accessible and well-organised.
  • Virtual office management: Coordinate household staff and arrange travel bookings, leverage memberships, and find cost-saving solutions.
  • Event planning support: Organise business retreats, and villa accommodations, and manage all associated logistics.

Ideal Candidate:

  • Strong work ethic: Demonstrates dedication, reliability, and a commitment to excellence in all tasks.
  • Minimum of 5 years of PA/EA experience, with at least 3 years of longevity in similar roles.
  • Proven expertise in Google Calendar, Email, and Google Drive management, with a talent for improving processes using technology.
  • Strong attention to detail and excellent organisational skills, able to manage both mundane and complex tasks with accuracy.
  • Experience in operations support and problem-solving, with the ability to implement solutions that improve efficiency.
  • Confident in creating and maintaining structured databases for contacts, partners, and events.
  • Experience with event planning and travel logistics is highly beneficial.
  • Able to handle a fast-paced virtual environment with discretion and confidentiality.
  • Proactive mindset, always looking for ways to save time and optimise resources.
  • Excellent communication skills, capable of liaising effectively with a variety of stakeholders.
