Working Schedule: 6-day work week with flexibility for additional hours including weekends when required Location: Mayfair, London
Salary: £80,000 – £100,000 gross per annum, DOE
Start Date: ASAP
 
We are seeking a highly organised and discreet Personal Assistant to provide comprehensive support to the Chairperson. This pivotal role involves managing all aspects of the Chairperson’s busy schedule across business and recreational endeavours, as well as providing support to the Chairperson’s family when required. The ideal candidate will excel in a dynamic, fast-paced environment while maintaining exceptional attention to detail and the highest level of service.
 
Key Responsibilities:

  • Serve as the first point of contact for the Chairperson
  • Manage the Chairperson’s diary, appointments, and travel arrangements
  • Coordinate with travel agents, hotel concierge, flight teams, chauffeurs, and assistants worldwide to ensure seamless travel experiences
  • Accompany the Chairperson, family, and guests on trips when required
  • Handle correspondence including emails and messages
  • Coordinate lifestyle management duties such as dinner reservations, entertainment bookings, and bill settlements
  • Arrange and coordinate events, parties, and hosting dinners
  • Liaise with security detail for global trips when necessary
  • Ensure the Chairperson’s preferences are communicated across all channels (hotels, private jets, yachts)
  • Supervise hotel room setup according to the Chairperson’s requirements
  • Maintain records of family passports and visa information
  • Manage family contact lists, birthdays, anniversaries, and address books
  • Coordinate gift purchases and dispatches
  • Assist with sourcing specific clothing or accessories
  • Coordinate hair and makeup setup, including reference looks with stylists
  • Oversee packing and unpacking of luggage for the Chairperson and family
  • Produce correspondence, reports, presentations, and other documents as needed

Ideal Candidate

  • Experienced in providing luxury concierge services
  • Previous professional wardrobe/stylist management experience
  • Excellent administrative and communication skills
  • Self-motivated with strong organisational abilities
  • Flexible and willing to travel internationally at short notice
  • Professional, respectful, and absolutely discreet
  • Adaptable with a consistent “can-do” attitude
  • Exceptional attention to detail
  • Ability to work effectively both independently and as part of a team
  • Capable of sustaining the demands of a high-pressure role
